Frequently asked questions

How does coffee machine hire work?
You book the machine, we deliver it to your venue, set it up, and collect it after your event. The hire includes the machine, coffee, milk, and cups for the number of guests you've booked for. We show you how to operate it at delivery. Most hirers run it themselves without any issues — it's simpler than it looks.
What's included when I hire a coffee machine?
The hire includes the machine, coffee beans or pods (depending on the machine type), fresh milk, sugar, stirrers, and disposable cups and lids for your guest count. Everything arrives in one delivery. You don't need to source anything separately.
What kinds of coffee drinks can the hired machine make?
Our machines produce espresso-based drinks: espresso, cappuccino, latte, Americano, and hot chocolate. The exact drink range depends on the machine model in your booking — when you enquire, let us know what your guests are likely to want and we'll confirm what the machine can do. It's worth noting these are proper milk-frothed coffees, not instant.
How many cups of coffee can the machine make per hour?
A commercial single-group espresso machine produces roughly 30–40 cups per hour when operated at a steady pace. For a large corporate event where guests all want coffee during a short break, that pace can create a queue. If you're expecting 100 or more guests who'll all want coffee at the same time, we'd recommend discussing your event structure with us when you book — adding an operator or a second machine makes a real difference when the rush hits.
Do you deliver and set up the coffee machine?
Yes. We deliver to your venue, set the machine up in the spot you've chosen, and collect everything once your event is done. The machine needs a stable surface, a nearby plug point, and a water source or filled water tank — we'll walk you through this at delivery. Delivery is available across Johannesburg, Randburg, Sandton, Midrand, and Pretoria; delivery fees are calculated based on your distance from our depot.
Can we collect the coffee machine ourselves?
Yes, self-collection is available. Our team will walk you through setup, operation, and cleaning at collection. The machine needs to travel upright and secured — please come prepared with adequate boot space and strapping. Collecting from our office saves the delivery fee.
What power does a coffee machine need?
Commercial espresso machines draw between 1,500W and 2,000W depending on the model — more than most kitchen appliances. You'll need a dedicated 220V South African plug point, ideally on its own circuit. Don't run it on the same line as a slush machine, microwave, or urn. Older buildings with 15A wiring can trip a breaker under the load, so if you're not sure about your venue's electrical setup, let us know before the event and we'll advise.
How long does the coffee machine take to warm up?
Most commercial espresso machines are ready to pull shots within 15–20 minutes of switching on. We factor this into our delivery time — we arrive early enough that the machine is at operating temperature before guests arrive. Don't switch the machine off and back on during the event; it needs to stay on to maintain consistent brewing temperature.
Do I need to hire a barista or operator for the coffee machine?
Not necessarily. Fully automatic machines are designed to be run by a non-specialist — press the button, the machine does the rest. We show you how it works at delivery and leave you with a quick-reference guide. That said, if you want a proper barista experience — latte art, manual milk texturing, faster throughput during peak times — we do offer a staffed hire option. It's an add-on, not something included in the standard coffee machine hire.
Can I use dairy-free milk in the hired coffee machine?
Yes. Oat milk, almond milk, and soy milk can all be used in place of dairy milk. Oat milk froths the most reliably in commercial machines and is the option we'd suggest if non-dairy is important for your event. Please source the alternative milk yourself — it's not included in the standard hire. Let us know when you book so we can check machine compatibility.
Do I need to clean the coffee machine before it's returned?
No deep cleaning required from you. The machine needs to be switched off and cool before collection, and if there's milk sitting in the frother, please rinse it with water so it doesn't set. We handle the full cleaning and sanitising back at our office. Do not attempt to disassemble the group head or internal components.
Can I use the hired coffee machine outdoors?
The machine can be placed outdoors under cover — a gazebo, canopy, or covered patio is fine. It cannot get wet or be used in rain. It also needs to stay out of direct wind, which can affect milk frothing. A waterproof surface nearby for cups and accessories helps keep things tidy. Indoors is straightforward as long as there's a nearby plug point and adequate counter space.
Is a coffee machine safe to have at an event with children?
The machine has hot surfaces and produces steam, so it should be positioned out of reach of young children and operated only by adults. At a children's event, set it up away from the kids' area and assign a responsible adult to manage it. We'll point out the hot zones when we set up.
How far in advance should I book coffee machine hire?
A week's notice is usually enough during quieter periods. For corporate year-end functions, December events, and busy winter months when indoor events pick up, book as early as you can — popular dates fill up quickly. We start seeing the December calendar fill well before November, so if you're planning a year-end function in Sandton or Pretoria, don't leave it late.
What happens if I need to change or cancel my coffee machine hire booking?
Let us know as soon as possible. Changes to your booking can usually be accommodated up to two weeks before your event, subject to availability. Cancellations made more than 7 working days before the event qualify for a full refund. If you cancel within 7 working days, the booking fee is not refunded. All changes and cancellations must be in writing.
What events is coffee machine hire suited to?
Corporate training days, board meetings, year-end functions, and conferences are the most common bookings — coffee machine hire turns a function room in Sandton or Midrand into a proper café-style setup for the day. It also works well at markets, pop-up events, weddings with a long reception, and church events. If you're running an event where people need to stay alert and caffeinated, it earns its place.
More about coffee machine hire randburg, johannesburg

Someone always needs a coffee

At a corporate training day in Sandton, it's the first thing people ask about when they walk in. At a wedding reception, it's the adults who've been standing for three hours. At a long church event or community function in Midrand, it's what keeps people present after the main programme finishes.

Coffee machine hire is, in some ways, the most practical hire on this list. It doesn't excite children. It doesn't create a photo moment. What it does is make a meaningful difference to how comfortable adults feel at an event, and to how long they stay and engage rather than finding a reason to leave.

Our hire includes the machine, coffee, milk, sugar, stirrers, and disposable cups with lids for your guest count. Everything arrives together. We show you how to operate it at delivery, and it's simpler to run than most people expect.

Bean-to-cup vs. what you'd serve from a urn

There's a significant gap between a coffee urn full of instant and a commercial espresso machine producing cappuccinos and lattes on request. Most guests notice it immediately. At a corporate event in Pretoria or a product launch in Johannesburg, the coffee quality is part of the impression the event makes.

The machines we hire produce espresso-based drinks: espresso, cappuccino, latte, and Americano. Proper steamed milk, not a powder-and-hot-water situation. The exact drink range varies by machine model — when you enquire, let us know what your guests are likely to want and we'll confirm what's available. Hot chocolate is also an option on some models.

These are not quick-serve vending machines. They produce good coffee. That's the point.

Peak service and throughput — what to plan for

A commercial single-group espresso machine produces roughly 30 to 40 cups per hour at a steady pace. In most event contexts, that's more than enough — guests come and go, the queue moves at a comfortable rate, and nobody waits long.

The situation that creates problems is a short, sharp peak: 80 people finishing a conference session in Sandton all wanting a coffee in the same fifteen minutes. That's when a single machine starts to slow things down. The fix is either a second machine or an operator who knows how to push throughput — or both.

For events where coffee is served continuously over several hours, a single machine handles most crowds without drama. For events with defined breaks where everyone moves at once, think about the math before you book and mention your event structure when you enquire. We'll advise.

Power also needs a thought in advance. The machine draws 1,500 to 2,000 watts and should run on its own circuit. Don't share the line with a slush machine, urn, or microwave. Older homes and some garden venues in Johannesburg can struggle with the combined load — it's worth sorting before the day.

Where coffee machine hire fits best

Corporate events are the obvious context: training days, conferences, year-end functions, board meetings, and product launches in Johannesburg and Pretoria. A proper coffee machine turns a function room into a café-quality setup for the day without any permanent installation. Guests who'd normally duck out for a coffee down the road stay in the room.

Weddings with long receptions use a coffee station well, particularly once the formalities are done and guests have been standing and talking for a while. It also works at markets and pop-up events where the audience skews adult — a coffee hire station at a weekend market in a Randburg or Midrand venue earns back its cost in the draw alone.

Church events and community functions are a less obvious fit but a very consistent one. Coffee after a service or during a long programme is a gesture that lands well.

For events that lean more towards fun food and a party atmosphere, the machine pairs naturally with a rustic bar hire setup as part of a drinks station, or alongside a sound system hire for a fully equipped function room.
